Desktop Procedure - Step-by-step reference guide for universe monitoring staff

This guide walks you through reviewing CMS universe submissions in Readily — from opening General Monitoring and drilling into a month, to checking scrubbing & collection status, reading the KPI dashboard, drilling into failing cases, and publishing a delegate KPI scorecard with associated Corrective Action Plans (CAPs). Keep this document on hand as a reference while working in the platform.

! Scope of this guide: This guide covers General Monitoring (CMS universe submissions) and the publish/CAP wizard for a single delegate's scorecard. Quarterly Monitoring cycles, audit setup, and case-file review are covered in separate guides.

Phase 1: Open General Monitoring and Drill Into a Reporting Period

Universe monitoring lives under the Universe Management module in Readily. The default monitoring instance for CMS universe submissions is General Monitoring — every audit that is not tied to a configured quarterly or annual cycle lands here. This phase opens the module, drops into General Monitoring, and drills into a specific reporting month.

Step 1.1: Navigate to Universe Management

Open Readily and go to https://app.readily.co/universe-management. The Monitoring landing page lists every monitoring instance configured for your plan. The General Monitoring card is flagged as Default — that is the one to use for ad-hoc CMS universe monitoring.

Step 1.2: Open General Monitoring

After clicking the General Monitoring card, Readily shows a tile for every month in the active window. Each tile displays a quick overview of how that month is doing — submitted, returned, pending — so you can see at a glance which months need attention.

Step 1.3: Drill Into a Reporting Period (April 2026)

Click the tile for the month you want to review — in this example April 2026. Readily loads the Reporting Period view, which opens by default on the Scrubbing & Collection tab and shows the status of every universe submission for that month.

Phase 2: Review Scrubbing & Collection Status

The Scrubbing & Collection tab is where you confirm that every universe expected for the period has been submitted, passed validation, and is not in a Returned or Pending state. This is your collection control surface for the month.

Step 2.1: Read the Status Summary

At the top of the tab, Readily summarizes addressed vs. outstanding universes. Submitted (green), Not Received / NR (grey), and Returned (yellow) are split out so you can see at a glance whether the period is on track.

i This tab is where you can see the status of collection of universes. Because we pull universes in from SFTP for The Alliance, the collection state here is informational — the universes arrive automatically rather than being uploaded manually.

Step 2.2: Expand a Universe Group (ODAG: 1 OD)

Group accordions list every universe submission for that universe type. Click ODAG: 1 OD to expand the accordion and see the per-delegate submissions. Each row shows the delegate, status (Passed / Returned), version, record count, errors, warnings, and due date.

Phase 3: Review the Dashboard & Scorecards

Once collection looks healthy, switch from Scrubbing & Collection to the Dashboarding & Scorecards tab. This is where KPI compliance is graphed, validation errors are rolled up, and per-delegate scorecards can be opened or published.

Step 3.1: Switch to the Dashboarding & Scorecards Tab

Click the Dashboarding & Scorecards tab next to Scrubbing & Collection. The top of the page summarizes validation errors and scorecard publishing progress for the period. Below it, the KPI Compliance section shows a donut for each KPI group (e.g., OD Notification Timeliness).

Step 3.2: Read the Compliance Table

Scroll down to the Compliance by Universe & KPI table. Rows roll up by delegate; each delegate has a 12-month view with the compliance percentage per month. Red cells flag months that fell below the 95% benchmark.

i The dashboard contains all KPI metrics graphed, plus the trend of submission errors over time. You can read it at the delegate level, the universe level, or drill all the way down to the specific failing rows.
