2. Building an Audit Tool Template

An audit tool template is the instrument you audit against: a set of elements, each holding the individual factors a delegate is assessed on. You build a template once and create audits from it. This article covers building one from Readily's requirement

Open the Template Library

Steps:

  1. Go to Audit Tool and click Audit Tool Templates.

  2. Use the Delegate and Internal tabs to switch between template types.

  3. Type a name in the search bar to find an existing template, or click Create Template to start a new one.

Templates carry metadata — year, delegated function, line of business and scope. That metadata is what lets Readily suggest the right template when you create an audit, so fill it in even though it is optional.

Open the Template

Inside a template, requirements are grouped into elements. Each row beneath an element is a factor: one criterion the delegate is assessed against. Changes save as you make them.

Add Requirements from the Library

Steps:

  1. Click Add Requirements.

  2. Choose a Requirement Database tab — Policy, Case File or Library.

  3. Search by package name, functional area, source or citation.

  4. Click Add To Audit on a package to bring its requirements in. The number on the button is how many requirements the package contains.

The requirement database is Readily's own library, already written and tagged to the rule each requirement comes from. Adding a package brings the regulatory text with it, so you do not retype citations.

Copy a Previous Year's Tool Forward

Building next year's tool usually means carrying most of this year's forward rather than starting over.

Steps:

  1. In Add Requirements, switch to the Custom tab under Templates.

  2. Find the tool you want to copy from — for example, last year's version of the same audit.

  3. Add its requirements into the new template, then remove anything that no longer applies.

Please note: Readily creates one audit tool per functional area. Keeping a template to a single functional area keeps reporting and corrective actions grouped the way you expect later in the audit.
